1. What we collect. When you book, we collect your name, phone number, email address and delivery address; your digital signature accepting our terms; and — if you choose to upload them, or send them by email — images of your UK driving licence, a proof of address, and — where a number plate is ordered — your V5C. Where documents are shown in person at handover instead, we record only that verification took place, without keeping a copy. During hires we take timestamped photographs of the trailer's condition at delivery and collection.
2. Why we collect it. We use this information solely to perform your hire contract: verifying your identity and eligibility to tow, delivering and collecting the trailer, managing deposits and refunds, and keeping the records the law requires us to keep. We never sell your data, and we don't use it for third-party marketing.
3. Payments. All payments are processed by Stripe. Your card details go directly to Stripe and are never seen or stored by us. Stripe's own privacy policy applies to payment processing.
4. Where your data is stored. Booking information is stored securely in Google Firebase (cloud infrastructure), our website is hosted by Netlify, and booking notifications are delivered via EmailJS to our business email. Booking records are not publicly readable.
5. How long we keep it. Booking and invoice records are kept for 6 years as required for tax purposes. Identity document images (licence, proof of address) are deleted once your hire is complete and your deposit has been settled. Condition photographs are kept only while relevant to any deposit or damage matter.
6. Who we share it with. Only the service providers named above (Stripe, Google Firebase, Netlify, EmailJS), each acting as a data processor to deliver the service — and authorities where the law requires it. Nobody else.
7. Cookies & local storage. This site uses your browser's local storage strictly for site functionality (such as remembering the availability calendar). We do not use advertising cookies or third-party trackers.
8. Your rights. Under UK GDPR you may request access to, correction of, or deletion of your personal data, or object to our processing of it — email jlhtrailerhireltd@hotmail.com and we'll respond promptly. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
